Privacy & GDPR

In presenting an archive of material from the history of the Society, there are a few challenges which have to be considered and managed.  Privacy is a key consideration, and once the site is open for wider access will be proactively managed to ensure that individuals are named on the site only if they have explicitly consented to this.

Individuals who do not consent to being named on the site will have no tags applied to items such as photographs.  However, all items will remain available, and others may be able to identify that individual from the photo alone.

Please note that there is no privacy in terms of the use of images - if a photograph is taken of you in a public place, the only right to that image remains with the photographer, who may pass or sell that right to own and use the image without your permission.  While best practice is for photographers to obtain a Model Release from the subjects of photos used for commercial purposes, there is no legal requirement for them to do so, and typically you cannot object to the use of images in which you feature.

If you wish to request removal of any existing tags which identify you in this archive, please make this request in writing to archives@ousekjarr.org stating your full name and the archive tag which you wish to have removed.

Frequently Asked Questions

  1. Can I request an item be removed from the archive?
No - items in the archive are historical documents owned by the Society, and are presented for access by current and lapsed members, and by the wider public, for research purposes and to present a permanent record of our activities.  Items will be removed only in exceptional circumstances.
  2. Can I be cropped out of a photo, or have my face obscured?
No - the integrity of archived items is maintained only by presenting them unchanged.

  3. Can I tag someone else in images?
No - only administrators can add tags to items.  If you can assist us with identifying subjects in images we would be happy to hear from you, and will make arrangements to add tags where appropriate.  As we may require consent from the subject to add tags, it would be helpful if you could also assist us to make contact with those people.

  4. Can my children be tagged?
Not while they remain under the age of 18 - in line with our policy, children will not be identified by name anywhere on the site.  Once they reach the age of 18, they may consent to being tagged.
